Oculus AI (“Oculus AI,” “we,” “us,” or “our”) provides AI-powered products and services for businesses. This Privacy Policy explains what personal information we collect, how we use it, whom we share it with, and your choices. It applies to our websites, products, and services (the “Services”).

Who we are
Controller: For our website, marketing, support, and our own products, Oculus AI acts as the data controller (or “business” under US state laws).
Processor/Service Provider: When we process data on behalf of a customer inside their solution, we act under their instructions and data processing agreement (DPA).
Information we collect
You provide: name, company, role, email, phone, billing details, messages, support requests, and any content you upload or route through the Services (including text, files, images/audio, transcripts).
Collected automatically: IP address, device/browser info, pages visited, referring URLs, timestamps, crash/diagnostic logs, and usage analytics.
From third parties: service providers for analytics, security, communications, payments, identity verification, and hosting.
Voice/Contact Center (if enabled): audio, transcripts, and call metadata (time, duration). Where required, you must obtain notice/consent for recording; we provide configurable announcements.
We do not knowingly collect information from children under 13 (or under 16 where applicable).
How we use information
Provide, maintain, and improve the Services (run features, generate outputs, troubleshoot, and analyze performance).
Security and abuse prevention (detect, investigate, and prevent fraud, spam, or misuse).
Business operations (billing, account admin, audits, compliance).
Communications (respond to inquiries; send service and product updates—opt out of marketing anytime).
Legal (comply with laws, enforce terms, protect rights and safety).
Model training (important): By default, we do not use Customer Content to train or improve generalized models. If you request fine-tuning or evaluation on your data, we will do so only under contract and scope-limited to your environment. Where third-party AI providers are involved, we configure settings to prevent their training on your data when such controls exist; if not available, we will disclose and seek your opt-in before use.
Legal bases (EEA/UK/CH): contract; legitimate interests (service improvement, security, B2B outreach); consent (cookies/recordings where required); legal obligation.
Sharing information
We share personal information only as needed to operate the Services:
Service providers / sub-processors: hosting, storage, analytics, security, communications, payments, and customer support tools—bound by confidentiality and data protection obligations.
Customers (when we act as processor): we process and return results under their instructions.
Legal/safety: to comply with law, respond to lawful requests, or protect rights and safety.
Business transfers: as part of a merger, acquisition, financing, or sale, subject to appropriate protections.
We do not allow providers to use Customer Content for their own advertising or model training.
Retention
We keep personal information only as long as necessary for the purposes above and to meet legal/audit requirements. Typical windows:
Account & billing records: up to 7 years after termination (tax/audit).
Agent logs/recordings (if enabled): customer-configurable (e.g., 30–365 days).
Diagnostics/security logs: rolling, short-term windows unless needed for security or audits.
You may request deletion (see Your rights).
Security
We employ administrative, technical, and physical safeguards, including encryption in transit, access controls/least privilege, monitoring, and incident response. No system is perfectly secure—please use strong credentials and enable MFA where available.
Cookies & similar technologies
We use
Necessary cookies for core functions and security;
Analytics cookies (where enabled) to understand usage and improve the site;
Advertising/retargeting cookies only if activated by us.
Where required, we display a cookie banner and provide controls to manage preferences. You can adjust browser settings to block cookies; some features may not work without them.
International transfers
Data may be processed in countries with different laws (including the US and Canada). Where required, we use approved transfer mechanisms (e.g., EU Standard Contractual Clauses) and additional safeguards.
Your rights & choices
Depending on your region, you can request to access, correct, delete, or export your personal information, and to object to or restrict certain processing. You can also withdraw consent where we rely on consent (e.g., cookies/recordings) and opt out of marketing.

California & US state privacy disclosures
For California (CPRA) and similar US state laws:
Categories collected: identifiers (name, email, device IDs), commercial info (transactions), internet/activity data (usage logs), professional info (company/role), and in some cases audio/transcripts (if voice is enabled).
Purposes: as described in How we use information.
Sale/Sharing: We do not sell personal information for money. If we “share” limited site data with ad/analytics partners (as defined by CPRA), you may opt out via a “Do Not Sell or Share My Personal Information” link and cookie settings.
Rights: know/access, correct, delete, opt out of sale/sharing, and non-discrimination.
Canada (PIPEDA/CASL)
You may access and correct personal information we hold, subject to legal limits. We obtain consent for electronic marketing per CASL; you can withdraw any time via unsubscribe links or info@oculusai.io.
EEA/UK/Swiss users (GDPR)
You have the rights listed in Your rights. You may also lodge a complaint with your local data protection authority. If an EU/UK representative is required, contact us for details.
AI & automated decision-making
Our Services may automate or assist decisions (e.g., routing, classification, summarization). You can request human review, contest outcomes, or configure human-in-the-loop rules in your deployment.
Sectoral data & HIPAA
If you require HIPAA-compliant processing, we will sign a Business Associate Agreement (BAA) and configure compliant controls (access, logging, retention). Without a BAA, please do not send PHI to the Services.
Children
We do not direct the Services to children under 13 (or 16 where applicable). If you believe a child provided data, contact us to delete it.
Changes to this policy
We may update this Policy. We’ll post the new “Effective Date” and, if changes are material, provide additional notice (e.g., email or banner).
